Following this procedure will ensure you get the Information you need in the fastest possible manner.

Important Information

What are you paying for?

You are renting an internet connected server space.

    As part of that rental agreement:
  • We will link your space to a domain name, whenever you ask.
  • We are not liable or responsible if your space is not linked to a domain name.
  • We will provide you with a password, whenever you ask, so you can access your space.
  • We are not liable or responsible if you do not access your space.
  • We cannot tell if you are using your Account or not, if you pay us then you are using your account. Simply email us if you wish to cancel.

Rights and Responsibilites

    As a client of cpanel-hosting.srva.au you have certain rights:
  • Server Hardware and Software maintained and upgraded,
  • Server security (not individual account security) maintained,
  • Fair access to server resources,
  • Server connected to the internet 99.9% of the time.
  • Questions regarding the above answered promptly and correctly.

We are responsible for our Server being responsive to web requests, but we are not responsible for the network of computers between your PC and our Server. Your site may appear down when the problem is simply a congested network.

You can see the status of our Hosting Server here, our Server is monitored by an independent 3rd party.

You are responsible for your Hosting Account.
We provide you with a Hosting Control Panel so you can manage almost all aspects of your Hosting Account 24x7.

    Your responsibility includes but is not limited too:
  • Understanding how to use software you may require - including Email Client, FTP Client, sitebuilding software etc. Keeping said software updated.
  • Keeping the software you installed on your Account up to date. If your space is hacked your account will be suspended for a MINIMUM of 48 hours. Your account will not be unsuspended till you have paid a MINIMUM service fee of $200 and all hacked files have been removed by us. Where necessary, at our discretion, we may remove all files and require you to upload a new website. We are not liable or responsible if your website no longer works properly after file removal. We may also forcibly update your Wordpress Core, Plugins and Themes.
    If Wordpress is installed in your Server space it is mandatory that you set it to auto update Core, Plugins and Themes.
  • Keeping your account installed software working efficiently.
  • not advertising your website in unsolicited email (SPAM) or allowing SPAM to be sent from your Account.
  • paying on time - overdue accounts will be suspended. Please note that payment via internet banking will take two WORKING days to reach us. Accounts are not paid till payment reaches us.
  • making sure your website does not breach laws, is hateful, pornographic or infringes anothers rights.
  • keeping your email address up to date in our billing software and in the Hosting Control Panel.
  • monitoring your allocated disk usage and deleting files/email to create more space or contacting us to arrange upgrading your Hosting Account.
  • behaving in a manner that does not lead you to firewall yourself.
  • you may re-sell full Hosting Accounts, you may not re-sell parts of a Hosting Account.
  • reading this entire page and understanding it.

Hosting Control Panel (cPanel)

cPanel allows you to manage almost every aspect of your Hosting Account. To start using cPanel simply go to the URL below and reset your password. In accordance with best security practices we do not have any record of your password. Remember to write down your cPanel username and password. If you lose your password simply reset it.

cPanel has inbuilt generalised help which will answer most of your questions. Please be aware that this page takes priority over cPanel - cPanel is used by many hosting businesses and may not accurately reflect settings on our Server (we use stronger security settings than other hosting businesses).

Site Statistics are available from within cPanel. If you turn them on they will take 24 hours to generate. Site Statistics will use up some of your allocated space.

Uploading Files - FTP Client Configuration

The easiest way to manage/upload files on the server is to forget about ftp and just use the File Manager within cPanel. Just login to cPanel and click the file manager link. Make sure you upload files to public_html - dont touch files anywhere else.

(Your password will always be the same as your cPanel password - change the cPanel Password and you have changed your FTP password too.)
Initial Remote Site Folder: /public_html

We only support FTP clients that are capable of a secure connection (that's most of them). We recommend Filezilla for Windows, Linux and Mac:

    Quick TLS/SSL setup instructions (simliar for most FTP clients):
  1. Open Filezilla.
  2. Select the File menu, and click on Site Manager
  3. Click on New Site
  4. Enter the FTP Host (secure.srvr5.com), Port (21)
  5. Protocol is "FTP - File Transfer Protocol"
  6. Encryption is "Require explicit FTP over TLS"
  7. Logon Type is "Normal"
  8. Enter User (cpanel username) and Password (cPanel password).
  9. Click "Advanced" tab - browse for default local directory (where your files are) and enter default remote directory "/public_html" (without quotes).
  10. Click "Transfer Settings" tab - Transfer Mode should be "Passive".
  11. Connect

Email Configuration

Many of our clients have difficulty with email. To correctly setup email you MUST read this section carefully.

Apache SpamAssassin

Apache SpamAssassin is setup to operate on any email addresses you use. If you are using on-server email boxes, suspected spam will be marked as ***SPAM*** and delivered to your email box. You can configure SpamAssassin to auto-delete suspected spam by logging into cPanel and then Apache SpamAssassin.

Collecting Email via Webmail

The easiest and best way to collect Email from an Email Box is via WebMail. The interface is familiar (looks like gmail or hotmail etc), there is no setup and you can see what is in your Box.

you have a choice of three webmail applications.
You must setup an email box (in cPanel) before you can use WebMail. Username and password are those you chose when setting up the email box.

Using Forwarders

Forwarders are great for sending email from an email address to an email box. Simply login to your cPanel and click "Forwarders" then click "Add Forwarder" enter the email address you wish to create and then the destination email address that you want it sent to. The destination email address must be an email address on the server. We do not allow forwarding off-server. You DO NOT NEED to setup an Email Account/Box, JUST setup the Forwarder. If you have previously setup an Email Box MAKE SURE you delete it after creating a Forwarder. If you fail to delete the Email Box it will fill up and send messages back that your Email Box is full.

Setup Email Boxes

An Email Box holds your email, just like a physical mail box it will fill up and require emptying.
* You initially do not have any Email Boxes setup.

You do not need a separate mailbox for each email address. If Cathy gets mail addressed to cath@, sales@ and accounts@ then only one mailbox ie. cath@ needs to be setup. The email addresses sales@ and accounts@ should be FORWARDED to the email box called cath@. Mail addressed to cath@ will automatically go to the box called cath@. Setting up multiple Email Boxes for the one person will make your email that much harder to manage.

To setup an email box, login to cPanel then click "Email Accounts". Fill in the form then click "Create Account". Your username is the full email address, write your password down. Setup additional email addresses that go to the same person/PC via the FORWARDERS functionality.

Collecting Email via Email Client

The most difficult way to collect email is via an email client such as Outlook, Mac Mail or Thunderbird. The reality is that setting up an email client may simply be beyond you. We strongly recommend POP3 over IMAP, IMAP is a lot more difficult to manage because all email in your Email Client is mirrored on the server - you need to delete email in your IMAP email client regularly. With POP3 you can keep email in your email client because it is NOT mirrored on the server.

You need the following information:
Incoming Mail Server: secure.srvr5.com - POP3 Port 995, IMAP Port 993
Outgoing Mail Server: secure.srvr5.com - Port 465
Username is your full email address.
Password is the password you chose when setting up the Email Box.
Our servers require you to use SSL setting in your email client.

Do NOT use your Email Client account setup wizard - it will setup your account incorrectly. Use the manual option. If your Email Client forces you to run through the wizard then you'll need to correct the settings. DO NOT TEST with incorrect settings - you will lock yourself out of mail and probably the whole Server.

Example wizard correction:
Windows Mail :- Click "Tools" then "Accounts", highlight the account you just setup and click "Properties". The "General tab will be correct, click the "Servers" tab. Make sure your incoming and outgoing servers are correct. Make sure your username is the full email address of the account you have set ie. "peter@domain.com" and not just "peter". "Log on using secure authentication" should be UNCHECKED. Under outgoing mail server "My server requires authentication" should be checked. In "Settings..." it should have "Use same settings as incoming" checked. Next click the "Advanced" tab. "Outgoing Mail (SMTP) should be 465. "Incoming Mail (POP3) should be 995, "Incoming mail (IMAP)" should be 993. "This server requires a secure connection" should be checked for BOTH. Check the numbers didn't change. Save and close and re-open your email client. Test. If you have an error it means you did not setup your email correctly - run through the above and check spelling. If you still cannot get your email setup, please use our Webmail interface.

The default setting for POP3 in most email clients is to leave all mail on the Server after downloading - this is a big mistake and you'll end up with no space and emails several years old. Make sure you configure your email client to delete email once its downloaded (days to leave on server should be zero).

Do not set your email client to collect mail more than every 10 minutes, if you collect mail more than 60 times an hour you will be firewalled. Nobody needs email more often than every 10 minutes - also gives you plenty of leeway to manually collect mail when waiting on an urgent email.

Do not leave incorrectly setup Email Accounts in your Email Client. They poll the server and the server will firewall you.

Miscellaneous

Running out of space

1. Poorly managed email is the most usual cause of running out of space. Login to cPanel and then click Email Accounts. Next to each email address is the amount of mb's of space that email is taking up. If an email address has a large amount of email in it, it may be because: * It is an email address that isn't being collected - delete email address. * If POP3 then the email client is probably not deleting email after download, so change the email client settings so it does delete after download. * If IMAP then the person using the address needs to delete some mail that is no longer needed. You need to examine all folders including sent and trash folders and delete mail you no longer want.

2. The problem may be that old files are taking up space outside of mail. Login to cPanel and click Disk Space Usage. This will tell you which directories have a large space usage. Delete any old files (via FTP or File Manager) you no longer need.

Backups

Please note that it is your responsibility to have a current backup of your site.
Our backups are in the event of system failure only. We will charge you a small fee to restore one of our backups.

Security

  • Please note that we will NEVER cold contact you, asking for your Password. If you contact us we may answer that we need your password in order to fix the problem.
  • Never use dictionary words as your password - a random mix of 12 numerals and upper/lower case letters will provide highest security.
  • Where you need to give out your password to a third party (web designer, software installer) change your password to something simple while they need it and then change it back after they've finished. You can also use the spare FTP login we provide - don't forget to disable it after use.
  • Keep any installed software up to date. If your website is hacked, it will be suspended until you fix the problem. Security of your account is your responsibility.

Anti-SPAM

Our Servers use several non-aggressive SPAM Lists to block suspected SPAM at SMTP. This means our Servers will not delete suspected SPAM but simply refuse to accept it. The sender will receive notification that their email was not accepted because they are on a SPAM list.

    To reduce the prospect of being inundated with SPAM:
  • Don't use popular email addresses such as info@ or sales@ etc. Use complex email addresses such as susan.f@ or info45@.
  • Don't place any email addresses on your website.
  • Use an anti-SPAM email client such as Thunderbird and separate potential SPAM from your inbox into a SPAMbox. You'll be able to concentrate on the important mail in your inbox first, then sort through what is SPAM and what is not SPAM in your SPAMbox at your leisure.

SPAM is only a problem if you fail to properly pro-actively manage your email.

Website Search Engine Submission

Search Engine Optimisation (SEO) is very simple. Make sure you have a sitemaps file. Make sure you use different title tags, meta description and meta keywords for each page. Use Google to find information on any of these that you don't understand. Over optimisation can be detrimental to your website position on the Search Engines Listing.
